- Which version reached participants?
- Is every language actually ready?
- Where was that decision recorded?
Multilingual meetings.
Minus the version chaos.
PolyAgenda gives boards and committees one place to prepare, publish and follow every meeting—with the right documents, in the right language, for every participant.
For public organisations, federations, associations and multilingual governance bodies.

THE REAL PROBLEM
The meeting is two hours.
The document chase lasts for days.
Email threads, duplicated folders and last-minute translations create uncertainty before the meeting even starts. PolyAgenda replaces that uncertainty with one governed flow.
- One explicit published version
- Readiness visible per language
- Decisions linked to the meeting
WHAT CHANGES
A calmer way to run multilingual governance.
Four capabilities do the heavy lifting—from the first agenda draft to the moment someone needs to find an old decision.
Controlled publishing
Publish with confidence. Edit without exposure.
Secretariats prepare and review the next version while participants continue to see the current published meeting. Nothing unfinished becomes official by accident.
Multilingual by design
Every language has a proper place.
Organise agenda points, attachments and decisions in each board language. Missing content is visible; approved material is never confused with an unverified translation.
Participant-first
Give members the meeting, not the back office.
The next meeting, agenda, preparation documents, presence, minutes and decisions come together in one clear workspace designed for people who need to prepare.
organisational memory
Find the decision—not the folder it might be in.
Published meetings, agenda points, decisions, minutes and document information stay connected and searchable after the room has emptied.
BUILT AROUND THE PEOPLE IN THE ROOM
Less chasing.
More preparing.
Open the next meeting and know exactly what to read.
Coordinate languages, readiness and publication from one place.
Keep identity, deployment and organisational data under control.
DEPLOYMENT
Your cloud or ours.
The choice stays yours.
Choose the operating model that fits your infrastructure, procurement and data-governance requirements.
PolyAgenda, operated for you.
For organisations that want the product without taking on day-to-day application operations.
- Managed hosting on Microsoft Azure
- Updates, backups and monitoring
- Service levels defined contractually
PolyAgenda, inside your environment.
For organisations that require direct control over hosting, networks and operational procedures.
- organisation-controlled or private-cloud infrastructure
- Docker and PostgreSQL deployment foundation
- Identity and operations reviewed with your IT team
Licensing follows the contracting organisation or data owner—not every individual board. Distinct data owners remain separate, even on shared infrastructure.
COMMON QUESTIONS
What organisations ask first.
Need a more technical answer? We can include your IT and security stakeholders in the demonstration.
Is PolyAgenda available as SaaS?
Yes. PolyAgenda can be delivered as a managed SaaS service, with hosting, updates, backups and operational support defined in the service agreement.
Can we deploy it on premises?
Yes. PolyAgenda can run in infrastructure controlled by your organisation, including a private-cloud environment. Deployment, identity integration and support are agreed with your IT team.
How does licensing work?
The commercial scope follows the contracting organisation or data owner, not each individual board. One organisation can therefore manage several boards within the agreed scope.
Do participants see working drafts?
No. Participants continue to see the latest published meeting while authorised editors prepare and review the next working version.
Does PolyAgenda translate documents automatically?
No. PolyAgenda organises approved content and documents by language. It never presents an automatic translation as an approved organisational version.
Can users search previous meetings and decisions?
Yes. Users can search the published meetings, agenda points, decisions and document information they are allowed to access. Search inside document content can also be enabled by the organisation.
